Use one appointment as the source of truth
The booking request, calendar event, worker assignment, completion status, receipt, and review should refer to the same appointment. Re-entering a job in separate systems increases the chance of mismatched times, client details, and statuses.
Separate scheduling workers from dashboard accounts
An owner may need to assign work to a team member before that person needs software access. Keep the worker available for scheduling, then create a secure dashboard account only when the worker needs to view and update assigned jobs.
Give each role the right view
- Owners need the full calendar, assignments, clients, receipts, and exceptions.
- Workers need today's jobs, permitted client details, notes, and status actions.
- Clients need their appointments, receipts, support, reviews, and booking-again path.
Use status changes consistently
Define what requested, confirmed, on the way, started, completed, and canceled mean for the business. Update status where the team already works so the owner does not have to chase verbal updates.
